At Relanco, we take your privacy — and your clients’ privacy — seriously. This policy explains what data we collect, how we use it, and how we protect it.

Relanco is operated as a sole proprietorship registered in Quebec, Canada (NEQ: 2281954752).

1. Who We Are

Relanco is an automated invoice reminder service that sends payment reminders by SMS and email to your clients on your behalf, built for Quebec contractors and tradespeople.

2. What Data We Collect

We only collect information that is necessary to operate the service.

Your account information (contractor)

• First and last name
• Email address
• Phone number (if provided)
• Billing details (managed by Stripe — we never store your credit card information directly)

Your clients’ information

• Client name or company name
• Client email address
• Client phone number
• Invoice details (amount, due date, invoice number)

This client information is entered by you directly, or imported from QuickBooks Online, FreshBooks, or a CSV file.

Usage data

• History of reminders sent
• Message delivery status (delivered, failed, replied)
• Login and account activity logs

3. How We Use Your Data

We use your data only to:

• Send payment reminders to your clients according to your settings
• Manage your account and subscription
• Send you service-related communications (confirmations, technical alerts)
• Improve the reliability and features of the service

We never use your clients’ data for marketing, advertising, or resale.

4. Automated Processing and Artificial Intelligence

Relanco uses the Anthropic API to suggest personalized reminder text. This processing uses invoice information (amount, due date) to generate message suggestions. You remain in control at all times: you can edit or replace any suggested text before activating it.

This automated processing makes no final decisions on your behalf or about your clients — it is a writing assistance tool only.

5. Who We Share Data With

We work with trusted service providers to operate Relanco. Each one processes your data only for their specific role, under data processing agreements that meet the requirements of Quebec’s Law 25:

We never sell your data to third parties.

6. Where Your Data Is Stored (Cross-Border Transfers)

Your data is stored on servers located in the United States, hosted by Supabase. Before transferring personal information outside Quebec, Relanco ensures that each provider offers adequate protection equivalent to Quebec’s Law 25 requirements, through contractual data processing agreements.

By using Relanco, you acknowledge that your data may be processed outside Quebec under these conditions.

7. Cookies and Tracking Technologies

Relanco uses a limited number of strictly necessary cookies to operate the service. We do not use advertising, tracking, or third-party analytics cookies.

Strictly necessary cookies do not require your consent — they are essential to the service functioning. Disabling cookies in your browser will prevent the service from working correctly.

We do not use any technology that identifies, locates, or profiles you beyond the functions described above.

8. How Long We Keep Your Data

Once the retention period expires, data is securely deleted or anonymized.

9. Privacy Breach Notification

In the event of a privacy breach that poses a serious risk of harm to affected individuals, Relanco commits to:

1. Notifying the Commission d'accès à l'information (CAI) of Quebec as soon as possible
2. Notifying affected individuals clearly and as soon as possible
3. Documenting the incident and the steps taken

10. Your Rights (Law 25 and PIPEDA)

Under Quebec’s Law 25 and the federal Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to:

• Access the personal information we hold about you
• Correct any inaccurate information
• Withdraw your consent to data processing
• Request deletion of your data (subject to our legal obligations)
• Receive a portable copy of your data in a structured, commonly used format (CSV or JSON), in accordance with the right to data portability (in effect since September 2024)
• Request cessation of distribution or de-indexation of your personal information if its distribution causes harm
• File a complaint with the Commission d'accès à l'information (CAI) du Québec

How to exercise your rights

Email privacy@relanco.ca with:

• Your name and the email address associated with your account
• The nature of your request (access, correction, deletion, portability, withdrawal of consent, or de-indexation)

We will acknowledge your request within 5 business days and respond within 30 days.

• For access or portability requests: we will send you a copy of your data in CSV or JSON format.
• For deletion requests: we will confirm by email once deletion is complete, noting any data retained due to legal obligations.
• For withdrawal of consent: automated reminders will be deactivated immediately. Data already sent cannot be recalled.

11. Security

We protect your data with reasonable measures, including:

• Encryption of data in transit (HTTPS) and at rest
• Data access limited to only the systems that need it
• OAuth access tokens (QuickBooks, FreshBooks) are encrypted before storage

12. Changes to This Policy

If we make significant changes to this policy, we will notify you by email or through an in-app notification at least 30 days before the changes take effect.
